Objective

The Objective was to Integrate AI(ChatGPT) & Salesforce into Outlook Email. Our esteemed clients have expressed their interest and desired for presenting an idea regarding automating the workflow of categorizing the mail in outlook on the basis of mail body through ChatGPT.

This also comprise of some demanding tasks, which includs AutoSync the Mail with Salesforce, AutoTag the Mail body using ChatGPT etc.

Mail will get synced automatically and will be received in salesforce once sent to the user.

Auto Tagging Mail Using ChatGPT

Utilizing ChatGPT, we categorize emails by inputting the mail body as a prompt, facilitating precise categorization or tagging of each email.

Integrating ChatGPT with Salesforce using Custom Request

There was a requirement to transmit the prompt, including the email body, to ChatGPT. To fulfill this need, we devised a Custom Request mechanism to dispatch the prompt effectively for processing by the ChatGPT model.

The Solution: Steps of Approach

Solution Step 1:

Upon the emails sent by users, the AutoSync feature will initiate the automated process of inserting the email message and its corresponding body within the specified Salesforce object.

Solution Step 2:

Upon insertion of the email into the Salesforce object, the email body along with the attached prompt constitutes the custom request that will be dispatched to ChatGPT. Subsequently, ChatGPT will process the request and generate the corresponding tag deemed appropriate for the mail body.

The Prompt Structure can also be edited from “CharGPT Prompt Configuration” Panel itself.

Solution Step 3:

The tags generated by ChatGPT are drawn from a predefined set of tags established by the administrator within the “Tag Configuration” panel in Salesforce. ChatGPT assigns tags to corresponding email body in custom request is based solely on this predetermined set of tags, ensuring consistency and alignment with organizational measures.

Through “Tag Configuration” panel, The admin can add new “Tags” and also modify existing tags.

Solution Step 4:

After ChatGPT assigns a tag to the respective email body, Salesforce proceeds to trigger an API call. This call serves to update the mail category or tag within Outlook, aligning it with the tag designated by ChatGPT.

And the same is displayed in Outlook immediately.

Solution Step 5:

In addition, we have the capability to regulate access to this utility based on user subscription status, allowing administrators to specify which users can avail themselves for this functionality. Moreover, administrators can determine which users are eligible for the AutoSync feature, ensuring that access is granted in accordance with organizational policies and user roles.

Furthermore, the system includes essential tools and shortcuts tailored to facilitate administrative tasks in “User Confighration” Panel.
